Peppol for freelancers: how to invoice compliantly without complexity or high costs
Are you a consultant, designer, developer, or coach? If you invoice businesses, Peppol applies to you.

If you invoice other businesses (not only consumers), Peppol concerns you directly. The good news: getting compliant requires neither deep technical expertise nor a big investment.
Why freelancers are in scope for Peppol
B2B e-invoicing obligations apply to any VAT-liable business, regardless of size. Being a freelancer or sole trader does not exempt you: as soon as you invoice another company, you are within scope of the reform.
Many freelancers still assume these reforms target only large companies. That is a persistent and potentially costly misconception. In Belgium, for example, the requirement has applied since 1 January 2026 to all B2B transactions, with no size-based exceptions.
In reality, professional clients increasingly require Peppol-compliant invoices. If you cannot send them, you risk payment delays, processing rejections, and commercial tension.
What you do NOT need to do
Before discussing what you should do, it is useful to clarify what is not required. For freelancers, Peppol compliance is mainly about choosing the right tool. With the right setup, everything becomes straightforward:
- You do not need an expensive accounting suite
- You do not need to understand XML or UBL in depth
- You do not need to take a monthly subscription
- You do not need an IT consultant
- You do not need to change your IBAN or legal structure
What to do in practice
1. Choose a Peppol Access Point suited to small businesses. Everything starts with selecting a certified intermediary that connects you to the network and sends invoices in the proper format. PepperHub is designed for freelancers who want a simple, transparent, no-commitment solution.
2. Create your account and register in the Peppol Directory. Registration takes only a few minutes. You provide your VAT number and business details, and you are automatically listed so clients can find you and send invoices or purchase documents.
3. Issue invoices through the PepperHub interface. Once your account is active, you draft invoices like in any standard invoicing tool. The difference is that invoices are automatically converted to Peppol format and transmitted through the network. Your client receives them directly in their accounting system.
4. Pay only for what you use. With PepperHub App, there is no subscription. You pay EUR 1 per sent or received document. For freelancers issuing 5 to 20 invoices per month, this remains very affordable compared to the value delivered and potential non-compliance penalties.
Frequently asked questions
I am under a VAT exemption regime. Am I still concerned? If you are not VAT-liable due to a local exemption regime, you are typically not subject to mandatory issuance. However, you may still need to receive electronic invoices when suppliers issue them.
I invoice both businesses and consumers. What should I do? The obligation applies to B2B invoices only. Consumer invoices are outside scope. You can use PepperHub for business clients and keep your usual method for consumer billing.
My client is abroad. Does Peppol still work? Yes. This is one of Peppol's key strengths. The network is active in more than 40 countries. If your client is in Germany, the Netherlands, Italy, or another Peppol country, your invoice can be delivered through the network.
I already use invoicing software. Do I need to replace it? Not necessarily. PepperHub also provides a technical Access Point for software vendors integrating Peppol. If your current software is not yet compatible, you can use PepperHub App in parallel or ask your vendor to integrate Peppol via our API.
Daily impact: less friction, more peace of mind
Once connected to Peppol, you no longer need to worry about whether your invoice was received correctly, whether the format is valid, or whether your client can process it. The network handles that for you.
Clients receiving invoices directly in their accounting flow often pay faster, which is a meaningful benefit when managing cash flow as a freelancer.
In the end, e-invoicing becomes a tool that works for you, not against you. One proper transition is often enough to feel the daily benefits.
